Privacy Policy
Who we are
Caffinix is a Bangladesh-based AI services and product company operated by two co-founders. We provide managed B2B AI outbound, chatbot and automation builds, and the Iris conversational commerce product for f-commerce merchants.
This policy explains what personal information we collect when you interact with caffinix.com, our products, and our services — and what we do with it.

What we collect
We try to collect as little as we need to do the work. In practice:
- Contact form & email. Your name, email, company, and whatever you write to us when you reach out for a service quote, scoping call, or general question.
- Iris waitlist. If you join the Iris waitlist, we collect your email address and the source (which page you signed up from). Nothing else.
- Theme preference.Your light/dark theme choice is stored in your browser's localStorage so the site remembers it. This never leaves your device.
- Server logs. Our hosting provider records standard access logs (IP address, user-agent, requested path) for security and abuse prevention.
- Service engagement data.If you become a client, we process the data needed to deliver the engagement — your company documents, sales lists, product catalogue, conversations we're training a bot on, etc. This is governed by the engagement agreement we sign with you.
We do not currently run third-party analytics, marketing pixels, or advertising trackers on this website.
How we use it
- To reply to you when you contact us.
- To notify you about Iris when we launch the next cohort — only if you joined the waitlist.
- To deliver the services or product you've hired us for.
- To keep the website secure, debug issues, and prevent abuse.
- To comply with applicable law and respond to lawful requests.
We don't sell your data. We don't share it with anyone for their own marketing. We don't use it to train public AI models.
Service providers we use
We rely on a small number of trusted vendors to run the business. Each one only sees the data they need to do their job:
- Hosting & deployment — for serving this website and our product infrastructure.
- Email & calendar — for replying to inquiries and scheduling calls.
- Payment processing — for invoicing clients once we sign an engagement.
- LLM providers — for the AI features in the chatbots, automations, and Iris workflows we ship. Where we process customer or end-user data through an LLM, we use provider configurations that do not train on your inputs.
We'll publish the specific vendor list as we lock our production stack. If a current or prospective client needs the list for procurement, email hello@caffinix.com.
How long we keep data
- Contact form messages: kept while the conversation is active, then archived for up to 24 months.
- Iris waitlist email: kept until you ask us to remove it, or until 12 months after Iris launches if you never converted.
- Client engagement data: kept for the duration of the engagement plus any retention period required by the agreement we signed with you.
- Server logs: typically rotated within 30 days.
Your rights
You can ask us, at any time, to:
- Confirm what personal data we hold about you.
- Correct it if it's wrong.
- Delete it (subject to obligations under signed agreements).
- Stop using it for marketing or product updates.

If you're in the EU/UK, you have rights under GDPR/UK-GDPR. If you're in Bangladesh, you have rights under the applicable local laws. We'll honour both.
Children
Our services are for businesses. We don't knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, contact us and we'll delete it.
Changes to this policy
We'll update this page when we change how we handle data. The “Last updated” date at the top reflects the most recent change. Material changes (for example, adding new categories of data we collect, or new processors that see your data) will be flagged on the site or by email when relevant.
